The end of the Monitoring and Controlling Phase is marked by the Closing Phase. What are steps that need to be followed to ensure that phase is carried out effectively?

One important component of closing is creating a project closure report. This project closure report lists every activity that is required in order to close the project. This report enables the project manager and the team to make sure they are completing every single activity required to close the report smoothly and efficiently. The project closure may include identifying project closing criteria, listing outstanding activities, creating a plan to pass deliverables to the customer, closing supplier contracts and agreements, releasing projects resources to the business, and how to communicate the closure of the project. Once this report is approved, the project manager then has a list of activities it can assign to their team to make sure of proper closing.

As the lecture also mentioned, a very important component of the closing phase is to properly record everything so that information can be used for future projects. This can help in not repeating the same mistakes in similar projects in the future.

something mentioned in the lecture which seems like common sense but likely proves to be extremely tedious is to review all materials before submitting to manufacturing to ensure there are no mistakes. a document such as the project closure document ashley mentions should be a great help to this as it can act as a checklist.. but also reviewing documents such as the DHS to ensure it includes all minutes, project change requests, design updates, etc.

As stated in the lecture, the steps to the closing phase are as followed:
1. close out contracts
2. Pay whomever needs to be paid
3. Give final performance reports
4. Log what you learn
5. Hand off product
The closing phase is to ensure everything is set in stone and no lose strings are left untied.

So as to not be too repetitive, having a third party review certain key documents that you may be bias towards as well as having different technicians perform testing/assembling according to the testing/assembling documents to ensure they are relatively dummy proof since the worst case scenario could be failure of a product while under specification defined in a testing procedure.
Also reviewing the questions and concerns that may have been brought up earlier in the project but were disregarded at the time because they were deemed unimportant or not real concerns to ensure that at the completion stage with all that we know the concerns still do not apply. One thing to be aware of is that simply reading the documents can have several biases so do not lose sight of why you are reading/reviewing the documents. Having a copy of company policies or checklists of things that should be checked for each document type you are reviewing can help shift the view point to a more objective one.
The project as a whole for launching a product will require members from all divisions/departments at certain points and having those individuals check the documents using their departments protocols/procedures will help ensure compliance with regulations and internal policies as well as prevent the PM from overlooking certain things simply because they didn't know certain facts about all the relevant regulations/policies.

Based on our lecture notes it is important to develop a final closing document with all the project details enclosed in there. Based on performance reports it is good to talk to all members of the team, make sure they evaluate their own performance as well as their team members. This will ensure everyone can see the contributions from all team members and is self-conscious to make sure they do not slack off. The company must finalize all contracts with outside companies and must make notes of all the companies that had signed with them and to what they owe each other based on the contract. It is important for everyone to log down what they learned and any new information that was gained from the project and that can be used for later projects. If the team does not learn from their mistakes then they are bound to happen again, wasting more money and time. At the end is the product distribution which means that the proper product and supplies will be delivered to the right people and from their they can monitor product surveillance for any major changes.

From my experience working at my current company, during the closing phase we have a few tasks that need to be done. Close up any loose ends with our vendors, typically ensure that they have the most up to date designs of the product. Make sure logistics are reviewed and are good to go. Our documentation team will complete various reports like design finalization, installation reports, etc. and update reports and finalization our lessons learned log. Once all documentation is in order, we build up a completed sample and present it to the customer for their approval during a scheduled meeting where we write off any remaining concerns or questions. Once they give their approval then off to mass production.

An analysis is essential during the closing of a project which includes the project members looking back over the project successes and failures. Leading a group meeting or individual meetings of the team who worked on the project. Using the meetings to review the project result outcomes in addition to finding out how the participants felt were roadblocks in the process. Request proposals on making future projects more successful based on the process and outcome of the closing project.

During the closing phase of the monitoring and controlling phase some of the important processes include: closing out contracts, paying all people who need to be paid, giving final performance reviews, keep track of what you learned during the project, and handing the project off. During the closing phase it is also important to generate the information needed to formally classify the project as completed and ensuring delivery of all project deliverables.

In the closing phase closing phase process, all documents of the project both in terms of device delivery, and project management delivery must be completed. Project actual results are reported and documented, project contracts are closed, and lessons learned documents are produced.
Final project reports include final documentation for accounting, scope, cost, quality, and risk.The project charter and the project plan are reviewed to assess project performance against the documented standards and guidelines. Final project archives are updated to include all project information.Design controls activities include device acceptance, production of final design review meeting documents, and the establishment of the final design history file. Upon approval of final design review, the device development project is now ready to enter the device-manufacturing phase.

I read somewhere that closing phase has two important documents in the closure of the project. One is the formal project closure document and second is the lessons learned. Found it interesting and should be shared. Every project is different and it's execution is also. It also has new problems and new solutions and new learnings from it. That is where you get to learn new things out of every single project. It may help you and other similar people in future if you have it written some where what are the lessons learned and shared with your coworkers or people in similar work backgrounds.

The project closing phase is as significant and impactful as the Initiation, Planning, Executing, and Monitoring and Controlling phase. The impact of project closing can be extensive, both to the project and to the organization. The key benefits of this process are the project or phase information is archived, the planned work is completed, and organizational team resources are released to pursue new endeavors.The project manager should go over every plan/timeline to make sure there was nothing skipped. It is also important to follow the project closure procedure the company requires. The ultimate goals / plan of the project need to be compared with the actual outcome and assessed as to the quality, accuracy, and speed at which it was achieved. Make sure that all documents are completed and up to date. Ensuring that all costs are charged to the project and closing the project accounts. The project staff should also agreed that the project is completed .It is important that lessons learned during the project are formally completed in the project closure phase, before the project team is assigned to other projects, or relieved

The closing phase of project management is the final phase of the project lifecycle. This is the stage where all deliverables are finalized and formally transferred, and all document is signed off, approved, and archived. The primary objective of the project closing phase is to insure that all loose ends are tied up and the project managers work is approved. To accomplish this a project manager should establish a closing process that is performed at the end of each project.

Closing phase is the final phase in the project life cycle. It ensures recording project documents, making final payments, completing all the deliverables of the project, confirming whether the work is done as per requirements. The main objective of the closing phase ensures that formal acceptance of the project is accepted by the customer, collected documents are recorded , finalized and archived. The lessons learned from the project are stored in the organizational process assets of the company.
