Meeting minutes are written documentation for the attendees and the non-attendees to know what happened in the meeting and highlight all the important changes that were discussed in the meeting, additionally, it helps to keep a track of the timeline of the things happened during the project, or why specifically something was in use instead of the other.
From my experience, meeting minutes are extremely beneficial for resolving conflicts over matters that were discussed in the meeting. Any time an issue that was previously discussed is brought up following a meeting, it is often the easiest to resolve if there are detailed minutes that can be referred to. When minutes are not detailed, if a matter discussed in a meeting is brought up in the future it becomes a matter of re-discussing the entire issue if there is no documentation saved.
Minutes are also a good way to hold team members accountable for tasks and deadlines. If they have been specifically documented from meetings, there is no excuse or argument for not being aware of them.
Hi Roberto
During my internship, I only read the email of the meeting process quickly, and some of the content is particularly important in the whole project. If you neglect the important parts of the meeting in the project, it is very important to record the email of the meeting process. At the same time, recording the meeting process can also urge us to finish the work on time, which is a particularly useful way to improve work efficiency.
Minutes of a meeting are essential. They contain the important points discussed in the meeting. It contains the necessary action items and the assignee for the action item which one would tend to forget after the meeting has ended, but is reminded of after the meeting minutes have been sent out to the people present at the meeting. The meeting minutes have a brief discussion that took place at the meeting and the necessary actions that need to be taken and addresses any concern associated. Make sure you clarify any doubts with the team leader before the end of the meeting so that you do not miss on any important tasks. Mostly all the information is noted down by a single person and filled in a common template and sent out to all the group members at the end of the meeting.
I certainly think that Minutes for Meetings(also known as MoM) are quite useful and must always be prepared during a meeting , as later on it plays an important role for maintaining the project towards the specified goal. When i used to be in industry I would always take them during the meeting and later on they always proved beneficial to me.
Hello everyone,
I have noticed how Dr. Simon keeps pointing out to importance of taking minutes in all the meeting of the team. I never really thought of how important they are. Before this, when I was in meetings and the minutes were sent to my email afterwards, I would quickly read the minutes but with not much attention as they should get. In this post I would like to discuss its importance. Probably some of you have had experiences where the minutes have got you out of trouble.
Thank you
Sincerely,
Roberto Pineda.
Well organized, detailed meeting minutes are extremely important to the product development process. When decisions are being made, it is necessary to document those decisions for future reference because it can help you out in the long run. For example, if a decision is made for some reason in an early DR meeting, and later on in the project someone wants to implement something that contradicts what was decided in that earlier DR, you can look back in your meeting minutes and explain why the decision was made not to implement that thing in the first place. Additionally, since you are detailing what was completed and how long it took in each of the meeting minutes, those meeting minutes can serve as a reference for future projects because you can estimate timelines based on how long each deliverable took to complete in prior projects.
I was the secretary in my undergraduate BMES and among my roles was writing minutes for all our meetings. This was an important task as it gave us in charge the ability to check back and corroborate any future decisions made by us. For example, in one meeting the members made a crucial vote on how to spend the remaining budget left for the semester. This vote was noted in our minutes, and at the end of the semester the club was given a school document to fill out how our budget was spent. While the document was filled by our treasurer, he was able to use my minutes to quickly fill it out without any trouble. If minutes were not taken at that meeting, there’s a good chance that it would have been filled incorrectly or at a slower pace.
Meeting minute are import part of meeting when you are discussing something important because they let you see what you talk about in the meeting so everyone is on the same page. When developing new device it is important to look take meeting minutes as they state what is done and what needs to be done before the next meeting which keeps team members on top of their work.
I believe some way to record what has been discussed in meetings are extremely important in terms of team success and organizations. It does not necessarily have to be in minutes. However, it is one method where one can read it easily and it does have lots of details which can be useful if someone forgets later on. For example, whenever we have lab meetings one person is in charge of taking meeting minutes. And I look at the minutes to see when the deadlines of projects or tasks are along with other team members. To me, it is more about being able to recall information you thought was not important at the time however it arises later on. In addition, it is a physical document that makes you take responsibility regarding what you said and what you plan to finish at a certain deadline.
Minutes of the meetings are very vital as they give us an idea what exactly happened during the meeting and what critical decisions were taken not only it helps us recall what was happened during the meeting but also serves as legal document about what actions were taken and what task was assigned. It is easier to create new deliverables and understand the progress and new deadlines if the minutes were taken down.
Minutes for meetings are very important for any project, During the each meeting the process of the project can be review, discuss some important points, Evaluate the project with the team member, discussing issues, making proposals, approving or rejecting offers. creating solutions, sharing information and ideas.
Meetings can often cover a lot of material and if meeting minutes are not recorded then there is a decent chance that some of the topics will not be acted on after the meeting. I have participated in meetings regarding project progress and achieving upcoming project goals and I have often relied on the meeting minutes to remind myself of topics covered in the meeting that slipped my mind days after. Meeting minutes are also really beneficial to participants who were not available to attend the meeting but were still involved with the project.
I agree with everyone that keeping meeting minutes is super important. It gives you something to reference in the event that you missed something in your personal notes. I know personally looking back at meeting minutes has been helpful in refreshing my mind or filling in gaps. Also, it has been useful in seeing how the team's thought processes changed over time. Why certain decision were made, approved, or rejected. It can also help when someone new is brought onto the team midproject. I was brought into a project later on and reviewing older meeting minutes helped me understand the progression of the project and how we were doing.
One of the most important factors of the engineering design process is " If it is not documented, then it never happened". This applies to meetings too. Someone should be keeping track of the meeting conversation in some sort of transcript, often abbreviated for the minutes. This ensures that all topics discussed are recorded. Assignments, deadlines, and feedback are often discussed in meetings. These MUST be written down to ensure accountability. Minutes can also help improve the structure and flow of future meetings.
I write down almost everything discussed during meetings. Not all of the information is useful, but doing such both helps me remember the meeting better and provides a basis for writing my weekly plan. In all honesty, I would say that taking minutes is probably more of a personal preference. Its an organizational skill; you need to find a system of taking meeting notes that works for you. If writing everything down during the meeting is what works, then minutes are good. If sitting down afterwards and writing down your plan works then I don't see a need for taking notes during the meeting.
What does matter is making sure to use documentation that you can track and base your workaround. It might not have to be in the form of meeting minutes but I think meeting minutes certainly help.
