Meeting minutes are indeed a significant element of the device's design change and development process. The value of meeting minutes varies depending on where you are in the medical device development cycle. When design changes or design review meetings take place and changes are adopted, it's crucial to keep track of who was present and who consented to the change. It's also worth noting if marketing, quality, regulatory, and, of course, R&D directors have any input. Documenting changes is done in this section because it keeps track of when something was modified, why it was altered, and who was involved in the update.
Minute meetings are very crucial as they are accurate accounts of the discussions or decisions that occurred in the meeting. Meetings can help prevent disagreements in the future. If anything goes wrong, people can review the minute meetings to see who has to be held accountable for the mistake that has occurred. Moreover, if someone needs to verify a decision made in the meeting, he/she can refer back to the minute meetings. They basically become your guide, and can help eliminate any confusion that can occur between team members. Furthermore, they summarize the outcome of the meeting, so it also serves as a reference for members that had to miss the meeting.
Like those prior, I did not give much thought to meeting minutes prior to working in industry. They are extremely valuable for several reasons, namely keeping track of on going tasks but also apart of 'good documentation practices'. Often after every main meeting there are a dozen things talked about, all of which vary in direction. While each person can take notes on their own related assignments an instance where people forget to jot down notes, miss important details or if someone unrelated to the project at the moment wants to understand more about your tasks is very common and thus makes recurring meeting minutes very important. As you mentioned meeting minutes can also save an employee in a bind when deciding if something should have been done or was not mentioned at all.
Meeting minutes are an underestimated tool, as they not only track time, but who is in attendance, allow for notes to be taken which include questions from people and also questions that were clarified, along with discussing key points and an overall agenda.
The meeting minutes allows for an organization tool to see what was done and what was discussed, to ensure everyone is on the same page and keep a log of when they meeting was, how it went, and when the next future meeting is.
Like said by others, I too have been on the receiving side of taking meeting minutes and being part of a meeting where meeting minutes were recorded. As for the importance of taking notes during a minute there have been a couple occasions that because the minutes were taken, I was able to escape getting blamed for something that I was not assigned to do. For example, one of my managers assigned something for another of my colleagues to do and this was during a meeting and the responsibilities were assigned and kept track on the minutes. However one day, my manager forgot who was assigned the responsibility and the project was running behind schedule so she was able to go back in the minutes and see who was responsible exactly and was able to shift the blame from me to the other collegue. Because of this I have always made sure that everytime I would enter a company meeting, that someone would be taking meeting minutes just to make sure everything is recorded.
I am a huge fan of meeting minutes! I note these during all of my team meetings and 1 on 1s with my manager. This helps me stay organized and remember what was previously discussed. It is also important for members that miss a meeting can quickly catch up and be abreast of what's going on.
I think meeting minutes are very underrated. They are taken for granted and passed over quite often. Meeting minutes can be crucial to you if you happened to zone out or take your attention off of the meeting, even for a moment. The minutes log specific dates, timelines, and roles that are given to the attendees. It allows you to have a logged written notation of what is expected or required of you. These should be taken more seriously and honestly need to be brought to the light for many.
I too was like you. I never understood why minutes were kept up with when I was younger. I really didn’t understand anything about minutes until now. From what I’ve learned, minutes are very beneficial. They help provide structure to a meeting. They can even offer legal protection, because minutes are considered a legal document by the courts, IRS, and auditors. They can also back up tax returns. Another benefit would be that it drives the plan of action for a team. It helps to clarify who, when, how, and why certain decisions were made. Some companies even use is as an accountability tool because it clearly states who’s responsibly for what. I’ve never personally had any dealings with minutes, other than knowing that some churches use them, but I’m sure like you said, that it can be a useful tool to keep people out of trouble.
Meeting minutes are extremely important and a necessity for effective communication. They serve as a guide for what happened at a meeting and, in the case of a project, can serve as a document that will keep in order who was assigned to do what specific task, how, and by what time. Also, people will forget things, it is inevitable. Meeting minutes will always be there as a reminder of everything that was covered. Especially in times like these where many meetings are through Zoom, it is really easy to get distracted and miss something important that pertained to you. I have had this situation happen to me and going back over the meeting minutes was the only reason I didn't miss an important deadline that was given. Furthermore, if you miss a meeting and don't feel like watching an entire Zoom recording back you can always just look through the meeting minutes (which should always be a comprehensive but detailed, and efficient summary) to catch up on everything. Importantly, minutes can also serve as solid evidence in your defense when necessary.
Minutes are considered an official record of actions on the board or committee took at a meeting. They serve as a historical purpose, also as a legal purpose, documenting the group’s adherence to the proper procedures. When first hearing about minutes for meetings I used to think the only use was to have a record of everything that was said. While this is true, this also serves as an official record of the actions taken at a meeting. Minutes serve to both memorialize the actions taken for those attending the meeting as well as for those who were unable to attend the meeting. I have not really been involved in minutes for meeting but about once or twice and it was used as a guide so we could remember what happened for the next meeting and who was responsible for what.

Meeting are held for reason and minutes should be recorded for future references.Meeting minutes play a vital role in all project and interaction amongst departments.Departmental meeting are mainly held by leads and management within those positions which the meeting minutes will be relayed by management.However by not taking not at meeting you run the risk of miscommunication in many form which can be detrimental for a company.
While some can be a bit unnecessary, I think that having meetings can get everyone on the same page. Having meeting minutes sent post-meeting is important because it can indicate responsibilities and deadlines, especially in a project. The problem with emailing the minutes is that people tend to overlook what has been written which could lead to missing deadlines, misinterpreted information, and uncertainty which can cause a project to fail. Meeting minutes can also be used as a tracker to let management know the progress of the project and to see how time away from daily routine tasks is being spent.
Taking minutes in a meeting has always been something I've done or read immediately after a meeting. They are really important and will save time and effort when needed for reference. Many people don't give that much attention to meeting minutes but they provide vital information and alleviate the constant back and forth email communication. Minutes have been used in various court cases, courthouse public documents and are used each time we call service providers for basic utilities. Until needed, it's kind of like a background tool that no one pays attention to but then it becomes a lifesaver in times when all other avenues of information have been exhausted.
The most important reason for meeting minutes is to ensure that all the information needed is recorded. We are all human and are likely to forget. Having the access to minutes will allow for people to go back and look through the important moments in the meetings. Maybe, someone forgot to take note of a deadline. Now they know. Also, it ensures that someone is able to have proof that a situation was or was not addressed in the meeting. If it is in the notes, then it was addressed.
