Improving Team Performance

I would first hold a team meeting, as many others before me have said. At this meeting, I would ask questions that pertain to goals or tasks the previous project manager has put into place. This will generally give me a good idea about their work ethic in comparison to the tasks they have been handed. I would also need to know each member’s responsibilities so I can check in and expect specific milestones. As the project progresses, I would like to see a great deal of improvement, otherwise I may have to contact the higher-ups.

I came across some good ways to improve the team's performance.

  1. Diversify your team
  2. Lead with gratitude and share yours regularly
  3. Be authentic and vulnerable
  4. Prioritize well-being
  5. Clarify each person's role
  6. Ruthlessly prioritize
  7. Communicate with context
  8. Make the daily workflow more efficient

I have also been a firm believer in meeting with the team regularly to ensure everyone is on task and has a clear understanding. With technology being so innovative, we held "team" meetings online that did not take away from the time needed for individuals to complete their tasks.

When the performance reports are low, firstly as the PM I would see where the scores are low, and what specific part of the project is performing low amongst the team members. Then I would meet with all members of the team, communicate with them as to how we could improve as a whole, where there are gaps, or where there are misunderstandings. By directing these critical portions, it would help everyone get on thee same page, figure out what needs to be done to move forward. After evaluations with all members, and as a whole, I would then go over the entirety of the project, to help everyone understand the end goal, the time frame, and finish the project with a better performance.

Ideally it is advised to have a good team from the start. Having members that are competent and can work well with one another. Although even with a good team there can be times where the teams can underperform. In these cases its the PM responsibility to stress communication and discuss with the team internally. PM should hold team meetings to talk to the group to figure out why they are not performing well. Identify if the team understands their given deliverables and ask what is causing deliverable to be submitted late and/or being submitted in sub par quality. There can be internal problems within group members: there can be a disagreement between group members, a member can be going through personal issues, and maybe some members are not fully qualified for their tasks. These can be identified through communication with the team and individual members to ensure better performance

To my knowledge team, performance refers to calculating how efficient the mutual group is at accomplishing their organization’s goals. Usually, team performance can be evaluated on the elements of the group’s collaborative ability, quality of the output, and on personal development. The team is said to be effective when they maintain all those three characteristics and permit them to attain good performance. Some of the ways to improve the team's performance are:

  1. Making decisions together: it is important for team managers to encourage team members to take part in the decision-making process of a project that can lead to creative solutions which might not be devised by the manager.
  2. Communicate effectively: usually, having poor communication within the team can lead to false or negative outcomes such as lost sales, high-stress levels, and even failure to reach project goals. Having effective communication among the team members not only generates an innovative, cooperative dynamic but also improves their emotional intelligence skills.
  3. Give and solicit feedback: to improve team performance, it is necessary for the project manager to know how to give feedback efficiently. Giving informal and constructive comments to the team members on a regular basis rather than waiting till the annual review period can help in developing a stronger working environment or relationship with them.
  4. Creating clear and attainable goals: it is important for the project manager to create realistic and attainable goals for professional as well as personal development. Setting or assigning small tasks to the team members can help in reaching the overall project goal.

One way that I would help improve the overall team’s performance is to first determine what is the root cause of the team’s low performance. One way you can do this is by having a team meeting and seeing what the team may be struggling with. This way, you can provide support and feedback on their performance and let them know what is expected of them and where there needs to be some improvement. It is important to also set clear expectations so each team member carries their weight and they are efficient. We do not have one team member doing all of the work because this will slow down the process and overwhelm the person that is working on the project. It is important to be collaborative so that we have different sets of eyes while working to complete a task. This can help group members come up with new ideas that may be more efficient. As a manager, it is also very beneficial to celebrate any success or progress. It's important to recognize and appreciate the hard work the team is putting in and this will boost morale. This will push all the team members to do their best when working on a task and to get creative. Lastly, if these techniques do not work and the team is still struggling, as project manager, I would re-evaluate the project plan and see what we can modify to help the team be more successful.

I would have a meeting with each individual and discuss the reasons why their performances were reported on the low end. Whether it be the workload being challenging to them or personal reasons that were affecting them, I would try to talk to them and figure out the best way to go about the situation. I would refer any available resources to the individual and try to accommodate them to the best of my ability. I would also have a team meeting and decipher how everyone gets along with each other.

First off, I would start by holding a team meeting. I would want each division/team member to clearly state what parts they were assigned/what they understood from them. From there I would speak to them about what the project goal is, and what the deadline is as well. This would be where the team and I, as the project manager, would ensure that we are all on the same page. From there I would go over the milestones and due dates of those assignments. This would allow me to see where assignments do not align and adjust accordingly. Once this is established I would try to end this meeting ensuring that each person has a clear understanding of the project and has a clear means of communication with each other.

The project manager can do this by emailing the information, arranging group active sessions, and putting the information on the internet. Once each employee understands an organization’s main purpose then all tasks performed by them can help in reaching the organization’s primary goals.
  2. Training team employees: The following stage is to train your employees in accordance with the business's demands and industry. Consider each team member's skill set, education, employment history, and responsibilities when doing this. You may speak with the company's human resources (HR) division to learn about accessible online or in-person courses, or you can meet with several university representatives to assess the likelihood of developing a curriculum specifically for your team.
  3. Defining clear business goals: usually, the trained team needs clear business goals to handle their activities and create the outcomes the organization expects. Here, the business goals may refer to the outcomes of projects, activities, or assignments. Making business goals clear helps the team members to know the final objectives of their activities and track their progress while accomplishing their duties.

I think that the first step I would take would be to hold both a team meeting and then individual meetings (if the team is small enough). The team meeting would be to see how the team communicates as a group and where the project generally is. The individual meetings would be to try to get a more detailed view of the status of the project. Some people may feel intimidated to voice their setbacks in front of everyone so I think the individual meeting would be useful in creating a safer communicative environment. After these meetings, I would try to determine if performance is lacking due to morale, external factors such as noncompliant suppliers/vendors, production shutting down, etc., or if its a new product, the research not showing promising results. If its lacking due to morale, I would try to motivate my team as best as I can. If it is due to external factors, I would maybe offer to step in and talk to vendors to see what is going on and why they are not being responsive to my team member. Of course, I want to emphasize to my team members that what they're working on is important and that they should be able to handle it, but I also would want them to know that I am understanding that some things may be out of their control and that they would feel comfortable coming to me and telling me what is going on instead of hiding it. Having stressed team members that feel uncomfortable being open to you only lowers performance and makes people care less about their work which is something I would want to avoid.

If I were the project manager I would set up a meeting and discuss the low performance. I would ask for their reasoning on why their job is being lacked. Is there too much work, and is it overwhelming that is affecting the performance? Do we need more assistance from different departments that can help ease the load on the tasks assigned? is there any training needed to accomplish the project? I  would definitely put on the table every aspect and consider it for the well-being of the team. I might need to change some pieces around to make it balanced and efficient so the whole team prospers.

In order to attempt to address the issues with a team's performance, the main cause of the low-scoring performance reports should be identified to ensure that any potential resolution would be able to have a long-term effect, rather than a short-term one. After finding the cause, it is important to reevaluate the goals of the team in order to make clear what is being evaluated in the team performance review. This should also be communicated clearly to ensure that everyone on the team knows what is expected of them. From this, the project manager should devise a plan to make sure everyone is adequately trained or receives the proper training. It would also be beneficial to hold a meeting with the project team and give them an open forum to discuss issues that they have had with the team, as well as improvements they would like to see made. The project manager should consider these suggestions and examine the positives and negatives of these ideas. These meetings should also be held frequently and feedback should be given from both the team and the project manager. Maintaining this open dialogue with the team will show that their voices are valued, which will, in turn, lead to the team improving their performance.
